For everyone's sake, this information is elsewhere, but I'm going to list it all here to minimize questions and confusion. It's a lot, but read it if you're not sure!

The marathon proper is from January 4th to the 10th. Setup days are the 2nd and 3rd, and the 2nd is just that: setup and getting everything where it needs to be. It is mostly staff, so don't worry, you're not missing much by coming on the 3rd. Bonus is stream is on the 11th and 12th, and we all have to get out by the 13th.

To sum it up:
Setup: 2nd-3rd
Marathon: 4th-10th
Bonus: 11th-12th

Check-in is at 3 PM EST (This means your room cannot be guarenteed ready BEFORE 3 PM)
Check-out is at noon EST (This means you MUST leave your room by noon. Although I have talked to the front desk, and in some situations they extend this to 2 PM on a case-by-case basis. DON'T EXPECT IT.)

Room cost (There is a 12% tax):

For 1 or 2 people, the rooms are $99/night.
With tax this comes out to about $110.88/night.
For 2 people, each person is paying $55.44/night.

For 3 or 4 people, the rooms are $109/night.
With tax this comes out to about $122.08/night.
For 3 people, each person is paying $40.69/night.
For 4 people, each person is paying $30.52/night.

Due to fire codes, more than four people cannot stay in a room. We have about 140 rooms set aside (I was told about 15% Kings and 85% doubles). As long as you cancel your reservation with 24+ hour notice, you will not be penalized. There is no security deposit.

Also, there is a $50/day hold for incidentals. If you are using a credit card, then the hold won't appear on your card (unless if you use room service or another incidental), if you use a debit card, you will be charged for the entire hold and stay until you check out. You can split the hold and stay before checking out but the person reserving needs to list peoples' real names. AFAIK, the hold can be split.

As far as posting in this thread goes:
Work things out with each other before trying to claim anything. Pretty much everything in this thread gets placed into the spreadsheet, so keep checking it! I won't change anything if it looks shaky. On that note, I am not a matchmaker; I'm not pairing anyone up for you. PM each other, use twitter, whatever. If you have a room already figured out before going through this thread, you don't have to post it unless you're looking to fill an empty slot(s).

Recommended format:
1. Room size you're looking for [MAX 4]
2. Name, or whoever's reserving the room
3. Names of current roommates
4. DATES YOU WILL BE STAYING

This is the most important part! The marathon begins at noon on January 4th and finishes the night of/morning of the 10th/11th. REMEMBER reservation dates are for nights! If you are staying from the 5th to the 10th, that means you will arrive ON THE 5th after 3PM EST and leave on the 10th by NOON EST. Once you check out, you will not be allowed back in your room.

Reminder again: If you’re looking for a room, PLEASE PM each other and make arrangements. I’m not listing rooms without some source saying it’s okay with everyone. I’m not a match maker.

Once you're rooms complete, please just make sure everything is sorted out amongst yourselves. At this point, it's in your hands to have someone reserve the room, make arrangements, whatever. Please don't post that you're looking for a room for X days if you're not serious about at least trying to attend. Many times a list of names piles up and within this first week and they're never seen again.

EXPECT TO CHECK THIS FORUM AS MUCH AS POSSIBLE FOR THIS THREAD AND PMs.

The deadline is not confirmed, but Mike will be reviewing with the hotel on December 10th, and registration will likely extend a week past there.

I never know when you're being serious, but no. I know SGDQ let 5 people stay in a room, but this hotel will not allow more than 4.

If you're all just gunna hang out though who cares, just good luck trying to reserve a room with >4 people

The hotel's site only allowed for 4 people to be registered, but most rooms have 5 people anyway.
EDIT: Same with every other hotel sites we've used so far I think.  The site only allowed 4 to be registered.  But we usually have 5 in a room anyway.

Meh about the 5 people thing. I can tell you from recent experience that sleeping on the floor does not leave you rested and rejuvinated, so 4 max is better for those reasons too.

Also, I am fine bunking with whoever needs a 4th person, same as last time I showed up.

True, but people like Adam_ak and I sleep on chairs just fine.  I've seen others do it too.  If we gathered all the insomniacs and chair-sleepers in one room, we would still probably only have 1 or 2 people sleeping at a time in the room.

I slept on a few blankets on my floor for a few years as well. I just prefer sleeping closer to the floor. And I find mysepf sleeping in hotel chairs way too often. They just seem cleaner than the beds somehow.

EDIT: Just checked non-stop flights from frankfurt (germany): cheapest is 6-11/12th [~670EUR], the other days are 900EUR and more.
Does anyone else from germany/austria/switzerland wanna attend?

The 4 person cap is a fire code restriction. If you all wanna break that rule and sneak more in, well, that's on you, but I sure as hell wouldn't be publicly announcing your intention to do so. I don't recommend risking it, even if you got away with it in the past.
Couple of questions:
1. Is it possible to alter the amount of guests staying in a room after a reservation is placed (before check-in obviously)? I don't want to inconvenience the Hotel with reservation changes, but this would be good to know. 

2. Outside of the potential for late check-out, will the hotel have a space to hold luggage? I know hotels usually offer this service, but since they are hosting this event with potentially many people holding luggage at once I suppose things could change.

Yeah the last thing I want is the manager busting down our door cuz the room was crammed with people...again. And yes that happened to me at a previous con I went to when the owner had almost 8 people in the room. Not fun.

Anyway, I got an idea of who I'm staying with if they're offering again. If not, I'll ask here again. Smiley
Looking for roommates that intended to be at the event for the entire week. I plan on arriving on the 4th and departing on the 11th.
