Okay, hotel numbers.  Before I write the numbers, here are four facts:

1. The hotel cut us an awesome deal on the insanely expensive streaming room, the Crown Suite, and the practice room beside it;

2. I had hoped to get the costs lower, but...

3. ...Loren and Anna are going nuts trying to get corporate sponsors in Edmonton, and I'm searching around Vancouver for the same, to cut these costs down; and,

4. These room costs include an amazing breakfast buffet (I'm not talking the soggy eggs crap you get at most hotels; this is a square meal everyday).

We have:

- 10 quad rooms reserved for $154 a room, which includes free breakfast.  These can have up to four people occupying.  I'll let people room up as they see fit; if you have fewer than four people in a room, the per-person cost goes up.

- 3 couples rooms for $114 a room, which also includes breakfast.  These are for the three couples attending (Pox+Poxwife, Lag+Mercury, Essentia+Denton)

- Shared costs: The streaming room plus the rooms on either side of it (a condition of our rental; one will be the practice room, and I haven't decided what to do with the other yet, but I'm sure we'll find a good use for it). $1008 per night.

Yes, that last number is big, but that's what Loren, Anna, and I are going to be working on in trying to attract corporate sponsors.

We're also trying to attract local restaurants who could support us with food.  We have a few restaurants "biting" so far.  No confirmations, but I'm going to be following up later this month.  So, hopefully we'll minimize food costs for attendees.  We have a couple of awesome local restaurants that have expressed interest.

Siderooms I am guessing can be used for possibly practice rooms.  Also are the rates you quoted per night on the room? So $154 a night on the 4 person room? Or about $40 per person per night if your in a room with 4.

So about $200 per attendee for the conference rooms (barring any sponsorship) and $40/night for a 4-person room by my math?

Yeah, roughly $40/(person*night) for the sleeping room.  We're planning on getting the conference room only for the six days of the marathon proper (Tuesday - Sunday), and doing offsite bonus stream again.  I think the bonus streaming offsite was well received last year, and it's not really worth it to keep the streaming area for bonus stream anyhow -- I'd rather lower costs.  So yeah, I think $200 per attendee for the streaming/practice rooms.  But, I'm feeling really good hopeful sponsorship, so hopefully that number comes down.

I wasn't planning anything fancy.  We can either do it in this thread, or we can start the private thread for attendees.  Might make more sense to do it in the private thread, so perhaps I'll start that tomorrow (won't have a chance today).
With just 10 quad rooms, it sounds like arranging rooms for people showing up and leaving at different times will be tricky.  In particular, I'm likely going to be staying from Friday night through Sunday night.  Either I find 3 others with a similar schedule, or.... Huh?

I trust in your creativity, duckfist Smiley  E.g., find people who want to, in general, go triple for a room, then pitch in some of the cost to stay the few nights with them.  I think with the three couples, then ~30 people with 10 quad occupancy rooms, this'll all work out.

edit: I don't mind chipping in a bit extra, the bottleneck for me is more vacation days rather than expenses.

Err, I guess I can't write clearly today Tongue  What I meant is: I'm sure you'll be able to find a group of three people occupying a quad room, and make some mutually acceptable agreement to grab a few nights in that room.

Let's hope a lot of that sponsorship goes through...because holy cow I about shit myself when I read that. (Not for myself mind you, but for those people who are going to be flying in out of country outside of the USA that might not have the extra cash lying around that some of us do)

Sadly, Unless costs drop for me (flight or etc). I think I have to bow out. The total is a bit of a stagger to push in by that time frame =/, unless I get another work bonus x-x.

I don't mind sharing a room with someone. PM me if you're cool. How are we getting to the hotel from the airport? Is someone coming by to pick people up?
If anyone needs a roommate I'll gladly join in,  bit expensive to do it by yourself.  Would even share a twin with someone if there are no quad rooms left.  Let me know.

If, for some reason, you don't like that option Smiley Smiley Smiley -- well, we're working on two different fronts.  Some of us are going to be able to do airport runs.  But, there's also a shuttle from the airport to major hotels in Edmonton (of which the Chateau Louis is one).  It was reasonably priced.  I'm sorry I can't remember the exact price of the shuttle, but it was on the order of $20.  Considering a taxi is ~$70, it's a really good value.

But, we still haven't planned/decided how many people we will drive, and how many will need to shuttle in.  It will ultimately depend on people's flight plans, and we'll try to reasonably minimize cost for people.

Edit: just to clarify, it'll depend on who's coming in when, and the reasonable human limits of how many people we can drive and how many we just, physically, won't be able to pick up.

So my Mother is probably travelling in with me. I'm pretty sure I mentioned this before.

How do I put this delicately? Her snoring is the volume of a chainsaw. People with earplugs have complained about it before. Is there anyway to set up a room for the two of us? Two double beds or whatever is available. We'd be fine paying a little bit more, but I wouldn't want to make other people have to try and deal with that.

Yeah, a couple's room isn't really an option. I'll ask my mom what she wants to do. She might just get her own room. She can be... stubborn. So I shouldn't make any assumptions.

Haha, I was joking.  Sorry, stupid humour overtook serious issue.  What I meant is that we have three rooms for two people, one of which is no longer needed.  I'm pretty sure, in that one room, we can negotiate the sleeping arrangements (i.e., one king vs. two doubles).  In other words, this can be fixed, and I was making an inappropriate joke Smiley

edit: Mom says that she'd probably be looking into her own room, isn't sure if she's going to be coming or not just yet. So I'll just figure out a room with people on my own. If she does wind up coming, would she be able to get in on the group rooming rate? I'm not really sure.

If she (or anyone else) wants her own room, that probably won't be part of any group rate, but I can discuss it.  As it stands, though, I think we're getting the deal on the shared rooms (e.g., streaming room, practice room).  I don't think (?) there's a huge difference on the sleeping rooms.
